Don't Miss Your Deadlines!

KNOW EVENT REGISTRATION OPEN AND DEADLINE DATES

Our Event pages list the dates that each event opens for Registration, and the deadline by which to get the advertised Early fee rates.

Plan ahead, put the dates in your diary, and make sure payments are made in good time ahead of the deadlines to ensure entry and the lowest fee rates.

KEY CUT OFF DATE - 30 DAYS BEFORE EACH EVENT!

Several key elements must be completed by 30 days before each event start date - put that in your diaries and make sure the following is done by 30 days prior:

  • Registered Coaches for the event are correct (for coaches passes).
  • All GreenLight documents have been submitted for Approval.
  • Group Spectator ticket orders have been placed (one per Programme).
  • Wristband postage has been ordered.
  • CheerAbilities or Adaptive Abilities team coaches have requested any carer passes that they require.

Orders/requests for any of the above within 30 days of the event may not be able to be accomodated, or will result in needing to queue at Box Office for replacement credentials etc. Help us to help you by getting everything done on time.

Links and instructions on how to do the above can be found on the Policies page.

STAY IN THE KNOW - SIGN UP FOR COACHES EMAILS

Emails relating to specific events are usually sent out to everyone registered for that event in RegChamp, to the registered RegChamp account email.

But sometimes, especially at the start of the season before event registration opens, we send emails to everyone registered to our Coaches Updates List. We highly recommend opting into this list to stay in the loop.

If you are no longer coaching or no longer want these emails, you can unsubscribe at any time via the link at the bottom of any email.

KNOW HOW TO USE REGCHAMP CORRECTLY (& CHECK YOUR INVOICE)

We publish short video guides and step-by-step instructions for the most common tasks on RegChamp.

CLICK HERE FOR OUR REGCHAMP TIPS & TRICKS

We find the most common RegChamp errors are:

  • Picking the wrong division for a team (often because an athlete has the wrong DOB, so the correct division is not available, so an incorrect one is selected as a placeholder and then it is forgotten to amend it).
  • Not selecting a division at all for a team, which means that team is not actually entered (as team only appears on your invoice when a division is selected).
  • Not registering any, or the correct, coaches for each event. (We STRONGLY recommend checking this prior to 30 days before the event, so credentials printed are correct).
  • Not uploading a photo and background check document for each coach (if they don't yet have Greenlight Approval).
  • Creating duplicate instances of athletes, leading to invoices not calculating crossover fees correctly.
  • Missing a team off the entry altogether.

The best place to check that all your entry data is correct is on your invoice. Check before making payment!

If you need help to correct anything, please reach out via email at [email protected].

BE PREPARED - LOOK FOR ANSWERS BEFORE EMAILING

Know well ahead of the event things like what format your music needs to be in, what happens if there is a 'stop' during your one of your teams routines due to injury or a music failure, when to expect your scoresheets and how to request a review of your scores, etc.

We publish all these sorts of policies and guidelines on our Policies Page.

Check there first for answers before emailing us, as during busy periods it can take us a while to get back to you.

Also read all emails from us in the weeks leading up to an event, as we regularly send out important updates and reminders of key things you need to know.
